Implement a workflow approval flow

Article Summary

User roles can be used to implement an approval flow allowing certain users to create workflows but not affect production by publishing them.

Assign the Creator role to users who you want to be able to create and edit workflows but not publish them. When a Creator intends to publish a workflow, they have to submit it for review. The reviewers must have publishing privileges (Contributor or Owner roles) to publish the workflow after they review it. Contributors and owners also have the option to submit workflows for review to align with the organization's requirements.

How to use

  1. Create a workflow and test it.
  2. When the workflow is ready to be published, click Submit For Review.
    Note
    The current version of the workflow is submitted for review. You can continue making changes to the workflow, but you'll have to submit them for review separately.
    • Users who are assigned the Creator role will have the Submit For Review button:submit_for_review_options
    • Users who are assigned either the Contributor or the Owner role will have the option to publish the workflow as well as the option to submit it for review:

  3. Fill out the form:
    • Tags: select from the suggested tags or add your own.
    • Version description: visible in the version history.
    • TimeBack benchmark: time saved by a single execution of this workflow.

  4. You can submit the workflow for review to a team member or a group of members and/or send it to a webhook to trigger a workflow.

Ask a team member to review

  1. Choose a user or a group of users that will be asked to review your workflow. You can choose users who have the Contributor or Owner role for the workspace. A user assigned either the Contributor or the Owner role can review their own workflow.
  2. The users will get an email asking them to open the workflow in Torq.

  3. The reviewer can see the changes and publish the submitted workflow.

    Any changes made to the workflow since it was submitted for review will be kept as a draft.

Trigger a workflow upon a Review Submission

  1. Follow these instructions to create a workflow based on the Submit for Review System Events Trigger.
  2. This workflow will run whenever a Creator submits a workflow for review.
